Project Support Specialist NEW MEMPHIS INSTITUTE


Position Summary: The Project Support Specialist will work closely with the Vice President of Communications and Strategic Initiatives and other key staff to broadly manage or support programmatic, communications, and special projects. The position provides an excellent opportunity to work for an established and dynamic non-profit.


Main Functions and Responsibilities:
- Supervise graphic, communications, marketing, and fundraising projects, coordinating timelines, approvals, and project-team communication
- Draft or support in drafting external communications for special projects
- Draft and send correspondence and materials on behalf of senior team
- Collect data from internal and external sources for use in impact reporting, funding proposals, and special projects
- Assist VP in monitoring team member progress on relevant goals and measures
- Steward relationships with speakers and partners for large events, as well as vendors providing in-kind donations for events
- Guide the preparation, communication and follow-up procedures for all board meetings
- Assist with the assembly and preparation of materials for New Memphis program classes
- Collaborate with staff to guide intern hiring and optimization across all programs
- Update contact information and other pertinent data in our database
- Manage information flow to ensure team members complete tasks requested by senior team
- Manage aspects of the senior team’s calendar and daily tasks, including the prioritization of calls and updating of staff activity
- Support team members in planning, budgeting, oversight, and document of all large projects


Key Skills
- Organized self-starter who thrives in a fast-paced, collaborative work environment
- At least three years of relevant work experience
- Strong attention to details, with an aptitude for coordinating tasks and timelines
- Able to communicate effectively, both verbally and in writing
- Synthesize large amounts of information to support initiatives
- Manage demands, deadlines, and information needs of multiple projects with little guidance
- Establish and maintain productive external relationships to support the organization’s mission
- Proficient in MS Outlook, Word, and Excel; Salesforce experience a plus
- Full-time. Some evening, weekends and extended hours will be required.
